Job Description

I.M.P is seeking an Administrative Assistant who will provide administrative support to the company’s executive office. Reporting to the Executive Assistant and Chief of Staff to the CEO, the position must have superior organization and time management skills, with the ability to prioritize work and multi-task under pressure.

This position is eligible for a hybrid work schedule, with up to two days of remote work and three days or more onsite.

Key Responsibilities/Duties:

  • Manage executive schedules, document administration, filing, and other needs as they arise.
  • General meeting management: Assist with scheduling and coordination of meetings (both in-person and virtual) for the executive office, attend meetings and take careful notes, and support the Executive Assistant with the follow-up of action items.
  • Serve as the point-person for the executive office’s in-house ticket requests, working closely with the box office managers to fulfill orders. Communicate with guests in a professional and timely manner, collect relevant information, and manage orders through to completion.
  • Maintain relationships between I.M.P and various service providers by assisting with the management of renewals and providing general account management support.
  • Planning, coordinating, and assisting with projects to ensure they are completed in a timely fashion.
  • Generating memos, e-mails, and reports to support the executive team.
  • Opening and sorting incoming postal mail.
  • Perform other duties as assigned.

  • Bachelor’s degree or equivalent experience.
  • Three years of relevant experience.
  • Excellent verbal and written communication skills.
  • Proven experience in working with individuals at all professional levels of an organization.
  • Ability to prioritize work and multi-task under pressure.
  • Ability to meet tight deadlines.
  • Superior organization and time management skills.
  • Proficient in Microsoft Office Suite and Google Drive.

  • This position requires a significant level of schedule flexibility and may occasionally require the individual to be responsive to weekend or after-hours calls.
  • This position’s day-to-day responsibilities change frequently and may extend to responsibilities outside of this job description.
